The ApproachLaunching an intelligent admissions and enrollment assistant on WhatsApp and the university portal to instantly guide applicants on prerequisites and criteria.

Every academic summer, King Faisal University in Al-Ahsa receives tens of thousands of applications from high school graduates across the Eastern Province and the Kingdom. During high-stakes registration windows, the Deanship of Admissions and Registration experienced overwhelming call volumes concerning weighted percentages, transfer credit equivalencies, and document verification deadlines, creating bottlenecks for advising staff and applicant families.

University leadership initiated the deployment of an intelligent admissions assistant connected directly to the university's academic information systems. The solution encompassed an authoritative, continuously synchronized knowledge base covering degree plans, prerequisite thresholds, and admission bylaws across colleges of medicine, engineering, business, and humanities.

eChat served as the conversational interface across WhatsApp and the admissions portal, acting as an interactive guide throughout the application journey. The system recognized regional Saudi expressions and colloquial phrasing, allowing students to submit questions through voice notes and receive prompt, step-by-step guidance on submitting preferences and verifying qualification credentials.

"The intelligent system absorbed our peak admissions wave flawlessly, providing every prospective student with authoritative, personalized answers in real time."

The project yielded a calm, orderly admissions season with record engagement metrics. Telephone queues were replaced by rapid conversational resolutions, freeing admissions officers to dedicate their attention to complex academic advising. The initiative established King Faisal University as a benchmark for student-first digital service delivery in regional higher education.
